The old way
BPO + COO + AI tier
- BPO: $12-22/hr per seat
- Fractional COO: $8-15K/mo
- AI tier add-on: +30-60%
The Pod way
All-in monthly
- Lite: starting at $X/mo
- Standard: $X-X/mo
- Scale: $X-X/mo
Most operations service companies refuse to put pricing on the website. We have always thought that's a tell about the relationship. So here is the honest breakdown of what PodFleet costs, what's included, and how it compares to the alternatives most 7-figure founders are also weighing.
The ranges below are real. Specific numbers vary based on Pod composition, vertical complexity, and AI tooling needs, but the brackets are accurate within roughly 15%.
The Pod Trial fee
Flat fee, paid upfront at start of week 1.
The Trial is a 4-week paid engagement where a real Pod runs real work on your operation. The fee covers:
- 1 Pod Operations Lead full-time for 4 weeks
- 3-4 specialists working your operation
- 1 AI automation specialist (shared)
- All SOP documentation, dashboard build, and automation configuration
- The replacement-bench infrastructure
If you continue to a retainer: the Trial fee credits in full against month one. Net Trial cost = zero, conditional on conversion.
If you don't continue: you keep every SOP, dashboard, and automation we built, delivered to your workspace. Trial fee paid as the cost of the operational audit + infrastructure.
The Trial fee is the same regardless of which retainer bracket you'd land in. It exists because the Trial structure is expensive for us to run (we're absorbing the risk of you not continuing). The fee makes the structure sustainable.
The Pod Retainer monthly cost
Three brackets, sized to operational shape:
Lite Pod retainer.
- 1 POL + 2-3 specialists + shared AI specialist
- Covers 1-2 deep functions OR 2-3 lighter functions
- Fits: $1M-$3M ARR operator-led businesses
- Monthly cost: in the range of an in-house mid-level ops hire's loaded salary
Standard Pod retainer.
- 1 POL + 3-4 specialists + shared AI specialist
- Covers 3-4 operational functions (CX, community, content ops, data/admin)
- Fits: $3M-$10M ARR operator-led businesses
- Monthly cost: in the range of an in-house senior ops manager + 1 specialist's loaded salaries
Scale Pod retainer.
- 1 POL + 5-7 specialists + dedicated AI specialist
- Covers full operational layer plus specialized functions
- Fits: $10M-$20M ARR operator-led businesses
- Monthly cost: in the range of an in-house ops team of 4-5 loaded salaries
Month-to-month after the 90-day initial commitment. Bracket changes possible with 30 days notice.
Why we don't publish specific numbers
Two structural reasons.
Reason 1: bracket sizing requires understanding your operation. The same revenue range can land in different brackets depending on operational complexity. A $5M ARR DTC brand with 30 SKUs and a Skool community fits Standard. A $5M ARR DTC brand with 250 SKUs across 4 marketplaces and complex returns flow fits Scale. Publishing a single number per bracket would either over- or under-quote most prospects.
Reason 2: the Trial fee credits against month one. The effective cost depends on whether you continue. Publishing a Trial fee in isolation, without the credit mechanic, would misrepresent the engagement economics for conversion-path prospects.
We give specific numbers on the discovery audit call, in writing, before any decision. No moving targets, no surprise add-ons.
How this compares to the alternatives
The honest comparison most 7-figure founders should run.
Option A: BPO seats.
- Per-seat-per-hour: typically $12-22 depending on provider and region
- Required headcount on your side: 1 ops manager at $80-120K loaded to manage the BPO relationship
- AI tooling tier: usually 30-60% premium on the per-hour rate
- Total per-outcome cost: similar to PodFleet Standard for equivalent throughput
- Trade-off: cheaper per-hour, more management overhead on you, no SOP ownership
Option B: fractional COO + the team they build.
- COO: $8-15K/month for 10-20 hours/week
- Team the COO hires: 4-6 people at $50-100K loaded each
- Total: ~$25-50K/month all-in for the full operation
- Trade-off: most expensive option, but you get the most senior leadership
Option C: in-house ops manager + VAs.
- Ops manager: $80-130K loaded
- 3-4 VAs at $1-3K/month each
- Total: ~$10-15K/month all-in
- Trade-off: cheapest sticker price, highest founder management overhead, hits the VA ceiling at 3-4 hires
Option D: PodFleet Pod.
- All-in monthly cost: in the ranges above
- Trade-off: middle of the pack on sticker price, lowest on founder management overhead, includes the operating layer (SOPs, dashboards, AI) by default
Per hour of human labor, PodFleet is more expensive than BPO seats or VAs and cheaper than fractional COO + team. Per outcome (closed ticket, managed community, completed workflow), the math typically favors PodFleet for 7-figure operator-led businesses, because the operator layer is bundled rather than billed separately.
What's NOT in the price
Three things explicitly outside the Pod retainer cost:
- Third-party tool subscriptions. Helpdesk, CRM, community platform, ESP, AI tools. You pay for these directly to the vendors. The Pod configures them.
- Paid advertising spend. If your operation includes managed ads (Google, Meta, etc.), the ad spend itself is yours. The Pod can manage the operational side (creative coordination, reporting) but does not include media budget.
- Custom development. If your operation needs custom integrations beyond what no-code tools (n8n, Zapier, Make) can build, custom dev is scoped separately.
The bundled cost covers the human work + the AI tooling layer + the operational infrastructure (SOPs, dashboards, automations). Tool costs sit beside that, not inside.
What you actually pay if you start now
Most founders ask "what would this actually cost for my business?" The honest answer requires understanding your specific operation, which is what the free audit call is for. The Pod Trial fee for your specific bracket, the projected retainer cost, and the alternative comparison get walked through in 30 minutes.
